How to calculate your trip cost

A realistic travel budget is just the sum of a handful of categories, each estimated honestly rather than guessed. Here's what to account for before you book anything.

Transportation

Your round-trip cost to and from the destination — flight, train, bus or fuel — multiplied by the number of travelers. This is usually the most price-sensitive line item, since fares change with dates and how far ahead you book.

Accommodation

Hotel or stay cost per night, multiplied by the number of rooms you need and the number of nights. Splitting travelers across fewer rooms is the single biggest lever for reducing this category.

Food

A daily per-person estimate covering meals, snacks and drinks, multiplied by travelers and the number of days. Street food and local markets sit at the budget end; hotel dining and specialty restaurants push this toward the premium end.

Local transport

Cabs, autos, rental scooters, fuel or public transport within the destination, estimated per day. This varies a lot by destination — a walkable town costs far less here than a spread-out city.

Activities

Sightseeing entry fees, tours, water sports, or any paid experience, usually estimated per person for the whole trip rather than per day.

Shopping & miscellaneous

Souvenirs, gifts, and the small unplanned purchases that don't fit neatly into another category. It's easy to forget this one until you're already spending it.

Emergency fund

A 10% buffer on top of your total covers the things no estimate catches — a surge-priced cab, an extra meal out, a fare change. For remote or peak-season trips, consider 15–20% instead.

Questions

Frequently asked questions

How do I calculate my travel budget?

Add up every category you'll actually spend on: round-trip travel, accommodation, food, local transport, activities/sightseeing, and shopping or miscellaneous spends. Multiply per-person costs by the number of travelers, and per-night or per-day costs by nights or days. This calculator does that arithmetic for you and also suggests a 10% contingency on top.

How much money should I keep aside for a trip?

A reliable starting point is your estimated total across travel, stay, food, local transport, activities and shopping — plus a 10% emergency buffer for price surges, extra meals out, or a last-minute activity you didn't plan for.

How much emergency budget should I add?

10% of your total estimated trip cost is a sensible cushion for most leisure trips. For remote destinations, multi-country itineraries, or trips during peak season, consider 15–20% instead, since prices and availability are less predictable.

How can I reduce my travel expenses?

Hotel and travel are usually the two largest line items, so small changes there have the biggest impact — booking a slightly cheaper room per night, traveling on off-peak dates, or choosing trains/buses over flights for shorter routes. Food and local transport add up daily, so even a small per-day reduction compounds over a multi-day trip.
